to join the team which supports the key functions in the ENTSO-E Secretariat based in Brussels, Belgium.

The role involves on a daily basis coordinating the representation of the Association towards the outside and oversees the ENTSO-E organization-wide process and policies, which ensures the organisation is compliant and fulfils its business and legal requirements.

Engagement Advisor

Your Position

The successful candidate will work in the ENTSO-E Secretariat in Brussels, and report directly to the Manager of the team which supports the engagements in conferences, events and high-level meetings. In addition, the team actively engages with the Member TSOs of the Association.

As an Engagement Advisor, you will have key responsibilities for arranging, preparing and supporting all engagements overseen by the team. The advisor is a key person for coordinating, under the guidance of the Manager, the High-Level Engagements in representing the association. The Engagement Advisor provides the necessary support on a daily basis and works flexibly and adapts quickly to the changing environment.

As an Advisor, your main tasks and responsibilities are the following:

  • Coordinate ENTSO-E representation in conferences, events and meetings under the direction and working in close collaboration with the Manager;
  • Provide excellent support to the ENTSO-E representatives in relation to their participation in engagements, by ensuring the availability of the necessary background information, briefing documents, speaking notes and relevant technical/logistical information;
  • Ensure all ENTSO-E external engagements are planned, coordinated, and prepared in advance with the support of the relevant Section in the Secretariat;
  • Ensure a strategic fit for the engagements in collaboration with the ENTSO-E Communication, Policy and Stakeholder Management Section;
  • Develop and execute the framework for the ENTSO-E engagement process, including an indication of roles and responsibilities, availability of templates of relevant documentation (briefing notes, internal notes, etc.) and set monitoring controls to ensure consistency in all ENTSO-E engagements;
  • Track and maintain the engagements extranet database by ensuring accuracy and availability of relevant documentation with special attention to agendas, briefing notes, slides and/or internal notes;
  • Perform diverse administrative tasks;
  • Ensure excellent relations and effective communication with the members of the Association, relevant external stakeholders and colleagues in the Secretariat.

Your Profile

  • University degree, preferably in business and administration and/or communications and project management, with at least 5 years’ experience in a relevant position;
  • Proven knowledge of the functioning of the main European Institutions and Associations and Organisations in Brussels;
  • Strongly developed interpersonal skills with the highest integrity and ability to develop trust with Members;
  • Driven by providing excellent support with a customer-oriented mindset;
  • Excellent verbal and written communication skills, in particular at executive level, with ability to negotiate with and influence senior management and board members;
  • Highly organized with strong attention to details;
  • Ability to work within and adapt to a multinational and multicultural professional environment;
  • Excellent communication skills in English, both written and oral;
  • Previous experience using SharePoint is desired;
  • The role is based in Brussels with travel expected to Member TSOs and other organisations as needed;
