We are looking for an enthusiastic and proactive individual to become our part-time Finance and HR Officer, starting September-October 2022.

The European AIDS Treatment Group (EATG) is a not-for-profit European network of nationally-based volunteer activists comprising of more than 150 members from over 40 countries in Europe and Central Asia. Our members are representatives of different communities affected by HIV/AIDS. The nature of the EATG implies that it has members all over WHO Europe and sometimes even beyond.

Since its foundation, the EATG has been at the forefront of the development of the civil society response to the HIV/AIDS epidemic in Europe. It represents and defends the treatment-related interests of people living with HIV/AIDS. Our activities focus on treatment literacy and treatment advocacy. A major goal for EATG, when it was founded in 1992, was supporting the simultaneous development of therapies in Europe, including not only antiretroviral therapies, but as well as treatments for opportunistic infections and other HIV/AIDS related conditions.

Terms of Reference

Under supervision of the Finance & HR Manager, the Finance & HR Officer will accurately report on programme and project expenditure, prepare budgets for funding applications, support HR processes, as well as other tasks as allocated.

Finances:

  • Prepare internal financial reports for relevant staff, to ensure activities and staff costs remain within allocated budgets and according to financial rules;
  • Prepare external financial reports, taking into consideration the specific rules and requirements of funders;
  • Prepare project funding applications with well-allocated budgets, taking specific funder requirements into consideration;
  • Liaise with Events Coordinator to ensure proper tracking of events’ budgets;
  • Ensure proper filing of all financial documentation;
  • Follow standards, procedures, and applicable laws;
  • Support Internal and External Audits as required;
  • Liaise with service providers and consultants regarding contracts, invoicing and payments;
  • Support update of financial processes;
  • Creation or update of financial templates;
  • Other finance tasks as required.

Human Resources:

  • Support creation or update of employment and consultancy contracts and annexes;
  • Tracking staff hours and holidays;
  • Prepare and process monthly salary submission to social secretariat;
  • Support creation or update of HR documents as relevant;
  • Support recruitment process for new employees or consultants;
  • Maintain electronic timesheet software and prepare monthly reports;
  • Other HR tasks as required.

General:

  • Report to the Finance and HR Manager, regularly updating them on all relevant matters;
  • Participate at meetings e.g. team meetings, governance meetings and other meetings as required;
  • Participate in improving EATG travel and finance rules and procedures and update manual accordingly;
  • Support the tracking and update of insurances and similar;
  • Adherence to internal policies;
  • Support a positive, multicultural work environment that drives open-mindedness and positive relationships;
  • Join team building activities (optional);
  • Participate in activities to improve personal development (e.g. training);
  • Replace Finance and Membership Officer in their absence;
  • Other admin support as required.

Requirements

  • Relevant university studies and/or equivalent work experience;
  • Excellent command of written and spoken English, any other language is an asset;
  • Excellent Excel skills;
  • Very good command of other MS Office package (Outlook, Word & PowerPoint);
  • Experience in financial reporting to EC and other funders;
  • Experience in creation of budgets for funding applications to EC and other funders;
  • Knowledge of Belgian employment legislation;
  • Experience in HR administrative tasks;
  • Involvement in the HIV field and non-profits is an asset;
  • Ability to work effectively as a team member and independently;
  • Ability to manage multiple priorities under pressure, trouble-shoot, and to meet short- and long-term deadlines;
  • Excellent written and verbal communication skills;
  • Organised and pro-active person;
  • Non-discriminative and discreet with confidential information;
  • Availability to travel;
  • EU nationality and/or right to work in Belgium without a work permit.
