Job description

We are looking for a motivated Accounting & Administrative Coordinator who will work closely with our Director of Operations to ensure the smooth running of our operations.

This is a role suited for someone who has theoretical accounting skills and wants to develop in a value driven NGO in Brussels and in a friendly international and multicultural environment.

Most of the responsibilities in this position relate to accounting, with administrative and operational duties making up the remainder of the role. Some of the main responsibilities of the job include:

  • Process day to day financial transactions, including entering invoices, bank statements and other financial documents into the accounting system (Winbooks), ensuring accuracy, completeness and timely recording;

  • Coordinate the monthly collection of expense documentation from staff members and ensure all supporting materials are accurate and compliant with internal procedures;

  • Coordinate supplier & client invoicing, including preparing incoming invoices for payment, verifying coding and supporting documents, issuing outgoing invoices, maintaining accurate records and organising payment batches for validation;

  • Execute and monitor supplier payments, ensuring correct approvals and proper documentation;

  • Contribute to the budgeting process by preparing structured financial inputs, gathering data, supporting financial monitoring throughout the year;

  • Prepare financial supporting documentation for project reporting requirements;

  • Support the Director of Operations in the annual auditing process by preparing reconciliations and documentation;

  • Support broader office operations by maintaining internal filing systems and providing assistance with Office Management processes when required.

As a part of ECF team, you’ll have the opportunity to travel and participate in our major flagship events such as the Velo-city conference series.
ECF offers an employment package in line with similar non-government organisations based in Brussels. Our package includes an initial 12-month contract with good prospects for extension, flexible working hours, 20 legal vacation and 10 extra-legal vacation days, cycling to work allowance, public transportation allowance, work from home allowance, lunch vouchers and eco-cheques, as well as an extra-legal pension scheme.

Who are we looking for?

  • A fluent English speaker (a working knowledge of French is desirable);

  • A person who has completed relevant post-secondary studies or practical accounting training;

  • A person who is highly proficient with Microsoft Excel, comfortable working with large or detailed datasets and able to use functions suited to financial work;

  • A person who preferably has a first experience in accounting or financial administration (knowledge of Winbooks is a plus);

  • A highly organised individual with excellent attention to detail;

  • Someone motivated to learn, proactive in solving problems and comfortable managing repetitive financial tasks that require precision;

  • Someone who resides in Belgium or is willing to relocate to Brussels and who has the legal right to work in Belgium.
